Multi-Location Inventory Management: Common Pitfalls and How to Avoid Them

Adding a second location doesn't just double the inventory work — it changes the kind of problems you have. Counts that were easy to eyeball in one shop become genuinely hard to track across two or three, and habits that worked fine at a single location start causing real losses.

Pitfall 1: Treating each location as its own spreadsheet

The most common failure mode is running each location's stock separately — different sheets, different systems, or different habits per manager. This makes it impossible to answer a simple question fast: "do we have this in stock anywhere?" You need one system with per-location counts, not a system per location.

Pitfall 2: No visibility into inter-location transfers

When stock moves from one location to another — to cover a shortage or rebalance overstock — that transfer needs to be tracked as its own event, not just a manual subtract-and-add across two separate records. Without transfer tracking, discrepancies compound every time stock moves.
